Version: 1.0
1. Purpose
This Refund & Cancellation Policy explains the circumstances in which students may cancel their enrolment, withdraw from a programme, or become eligible for a refund of fees paid to Cavell College.
The policy is intended to provide students with clear and transparent information about cancellation, withdrawal, refunds, and related financial arrangements.
2. Scope
This policy applies to students and applicants who have made payments to Cavell College in connection with a programme or qualification.
Specific financial arrangements may vary depending on the programme and the terms communicated to the student before enrolment.
3. Application Fees
There is no application fee for University programmes.
Where an application fee applies to another qualification or programme, the applicable amount and refund arrangements will be communicated clearly before payment is made.
4. Right to Cancel
Where a statutory cancellation right applies, students may have the right to cancel their agreement within the applicable cancellation period without giving a reason.
The applicable cancellation period and the date from which it begins will be communicated to the student as part of the relevant enrolment or contractual information.
Nothing in this policy is intended to remove or restrict any statutory cancellation or consumer rights that apply to a student.
5. How to Cancel
Students wishing to cancel their enrolment should submit a clear written request to Cavell College using the official contact details published on the College website.
The cancellation request should include:
- Full name.
- Programme name.
- Student or application reference, where applicable.
- Email address used during application or enrolment.
- Clear confirmation that the student wishes to cancel.
The College may request additional information where necessary to identify the student or process the cancellation.
6. Refunds During an Applicable Cancellation Period
Where a student exercises a valid statutory cancellation right within the applicable cancellation period, Cavell College will process any refund due in accordance with applicable law and the terms of the student’s agreement.
Where appropriate, refunds will normally be made using the same payment method used for the original transaction unless another arrangement has been agreed.
The College will not apply charges that are prohibited by applicable consumer protection requirements.
7. Cancellation After the Applicable Cancellation Period
Where a student cancels or withdraws after the applicable cancellation period has ended, the student’s entitlement to a refund will depend on:
- The programme and its applicable terms.
- The date of cancellation or withdrawal.
- The amount of study or services already provided.
- Any applicable contractual or statutory rights.
- Any relevant College withdrawal or student protection arrangements.
Students should contact Cavell College before withdrawing so that they can understand the academic and financial implications of their decision.
8. Withdrawal from a Programme
A student who wishes to withdraw from a programme should notify the College in writing as soon as possible.
Withdrawal from a programme does not automatically result in a full refund.
Any refund or remaining fee liability will be determined in accordance with the applicable programme terms, this policy, and relevant statutory rights.
9. Programme Changes
Cavell College aims to deliver programmes substantially as described in the information provided to students.
In some circumstances, reasonable changes may be necessary because of academic, regulatory, operational, staffing, quality assurance, safety, or other legitimate reasons.
Where a significant change materially affects a student’s programme, the College will provide appropriate information and explain any available options.
Where a student is entitled to withdraw or receive a refund because of a significant change, this will be handled in accordance with applicable law, the student’s contractual terms, and relevant College procedures.
10. Programme Cancellation by Cavell College
In exceptional circumstances, Cavell College may need to cancel, suspend, or discontinue a programme.
Where this occurs, the College will:
- Notify affected students as soon as reasonably practicable.
- Explain the circumstances where appropriate.
- Consider available alternative arrangements.
- Provide information about any applicable refund or compensation arrangements.
- Take appropriate steps to minimise disruption to students.
Where a refund is due, it will be processed in accordance with the student’s contractual and statutory rights and any applicable Student Protection arrangements.
11. Refunds for Overpayments
Where a student has paid more than the amount properly due, Cavell College will arrange an appropriate refund of the overpayment.
The College may verify the payment and student account before processing the refund.
12. Exceptional Circumstances
Cavell College recognises that students may experience serious and unexpected circumstances that affect their ability to continue their studies.
Examples may include serious illness, bereavement, or other significant circumstances beyond the student’s reasonable control.
Students should contact the College as soon as possible if exceptional circumstances affect their studies.
Any refund or financial adjustment in such circumstances will be considered in accordance with the relevant College procedures, contractual terms, and applicable legal requirements.
13. International Students
International students should carefully consider any financial and immigration implications before making a payment or withdrawing from a programme.
Where a student requires immigration permission to study, the student remains responsible for meeting applicable immigration requirements.
Refunds relating to international students will be considered in accordance with the student’s contractual terms, applicable law, and any relevant programme or Student Protection arrangements.
Cavell College does not provide individual immigration advice.
14. Payment Method and Refund Processing
Where a refund is approved, Cavell College will normally return the funds using the original payment method.
Where the original payment method cannot reasonably be used, the College may request appropriate information to arrange an alternative payment method.
The College may carry out reasonable verification checks before processing a refund.
15. Third-Party Payments
Where tuition fees or other payments have been made by a sponsor, employer, funding organisation, or another third party, the College may return an applicable refund to the original payer where appropriate.
Students should contact the College if they believe special arrangements apply to their payment.
16. Non-Refundable Charges
Any charge identified as non-refundable will be clearly communicated to the student before payment is made, subject to applicable statutory rights.
Cavell College will not treat a charge as non-refundable where doing so would unlawfully restrict a student’s statutory rights.
17. Outstanding Fees
Where a student owes fees or other amounts to Cavell College, any refund due may be considered alongside the student’s outstanding financial obligations, subject to applicable law and contractual terms.
Students should contact the College if they are experiencing financial difficulties or are unable to meet an agreed payment requirement.
18. Student Protection
Where a programme cannot continue or is materially affected by circumstances within the scope of the College’s Student Protection arrangements, affected students will be supported in accordance with those arrangements.
Any applicable refund, compensation, transfer, or alternative study arrangements will be communicated to affected students.
19. Refund Decisions
Where a refund request requires individual consideration, Cavell College will review the circumstances and communicate the outcome to the student.
Where a refund is not approved, the student will be informed of the reason and any applicable review, complaint, or appeal route.
20. Complaints
Students who believe that a refund or cancellation request has not been handled appropriately may raise a concern through the College’s relevant complaints procedure.
The Student Complaints Procedure provides information about how concerns can be raised and considered.
21. Data Protection
Personal information provided as part of a cancellation or refund request will be processed in accordance with applicable data protection legislation and the Cavell College Privacy Notice.
Information will only be used for legitimate purposes connected with the administration of the student’s cancellation, withdrawal, refund, or related enquiry.
22. Policy Review
This policy will be reviewed regularly to ensure that it remains accurate, effective, and aligned with applicable legislation, consumer protection requirements, and Cavell College policies and procedures.
